1) What this policy covers

This policy explains what personal data we collect, what we do with it, and your choices. It applies to our Site, events, coaching, and marketing activities. If a separate privacy notice applies (e.g., for a specific research study), we’ll show that to you at the point of collection.


2) The data we collect

Information you provide

  • Contact & account details: name, email, role, organisation, location, preferences.
     
  • Enquiries & forms: messages you send via contact forms or email.
     
  • Newsletter sign-ups: your email and preferences.
     
  • Event bookings & downloads: registration details, dietary/access needs you choose to share.
     
  • Coaching & workshops: scheduling details and any working notes you provide (see “Coaching confidentiality” below).
     
  • Payments: handled by our payment processors (e.g., Stripe/PayPal). We do not store full card details.
     

Information we collect automatically

  • Usage & device data: pages viewed, links clicked, IP address (with IP anonymisation where supported), browser type, and similar analytics (e.g., via Google Analytics 4 or equivalent).
     
  • Cookies & similar tech: see “Cookies” below.
     

Information from third parties

  • Event or email platforms (e.g., Eventbrite, Mailchimp/ConvertKit) share basic subscription or booking data with us.
     
  • Social platforms if you choose to interact or log in via those services.
     

3) Why we use your data (and our legal bases)


We process personal data only where we have a legal basis under the UK GDPR/EU GDPR:

  • Provide our services (workshops, coaching, events, digital resources) – Contract/Legitimate Interests
     
  • Communicate with you about enquiries, bookings, service updates – Contract/Legitimate Interests
     
  • Send newsletters and marketing you’ve opted into or that are relevant to your professional role – Consent/Legitimate Interests (with opt-out)

Where we rely on consent, you can withdraw it at any time.


4) Coaching confidentiality

Coaching conversations are confidential. We keep lightweight notes to help track goals and progress. We won’t share coaching content with third parties unless you ask us to, it’s required by law, or there is a safeguarding risk.


5) How we share information

We don’t sell your data. We share it only with:

  • Trusted processors who help us run the business (e.g., website host, analytics provider, email platform, CRM, scheduling tool, payment processor, event platform). They process data under our instructions and appropriate safeguards.
     
  • Professional advisors (legal, accounting) or authorities where required by law.
     
  • Event partners/sponsors only if you explicitly consent at registration.
     

A current list of core processors is available on request.


6) International transfers

Your data may be processed outside the UK/EEA. When that happens, we use approved safeguards (e.g., UK/EU Standard Contractual Clauses and supplementary measures) to protect your information.


7) Retention

We keep data only as long as needed:

  • Enquiries: up to 24 months
     
  • Client & booking records: 7 years (finance/legal)
     
  • Coaching notes: up to 24 months after programme end (unless agreed otherwise)
     
  • Marketing lists: until you unsubscribe or we remove inactive contacts
     
  • Analytics data: 12–26 months (tool-dependent)
     

We then securely delete or anonymise it.


8) Your rights (UK/EU)

You can:

  • Access a copy of your data
     
  • Correct or delete it
     
  • Restrict or object to processing (including marketing)
     
  • Port your data to another provider
     
  • Withdraw consent at any time (where relied upon)

9) US state privacy disclosures (summary)

If you’re a resident of certain US states (e.g., California, Colorado, Virginia, Connecticut), you may have rights to access, delete, correct, or opt out of certain processing (e.g., targeted advertising).   • Email: every message includes an unsubscribe link.
     
  • Preferences: you can adjust topics/frequency where offered.

We use appropriate technical and organisational measures (encryption in transit, access controls, least-privilege policies, secure passwords/SSO, staff/admin training). No system is 100% secure; if we detect a risk to your data, we’ll act promptly and notify you and regulators where required.


13) Children

Our services are for professionals. We don’t knowingly collect data from children under 16. If you think a child has provided data, contact us and we’ll delete it.


14) Links to other sites

We link to third-party sites (e.g., event platforms). Their privacy practices are their own. Please review their policies.


15) Changes to this policy

We’ll update this policy when needed and post the new effective date above. For material changes, we’ll notify you (e.g., via the Site or email, where appropriate).
